Conversation flows allow you to truly customize the way your AI Receptionist communicates with your current and potential customers. They are the steps your AI Receptionist will follow to keep the customer engaged and answer the necessary questions you need. 

How Conversation Flows Benefit your Customers

You’ve had enough conversations with customers that you know what the perfect customer call looks like. So, let’s design it for your AI Receptionist. The conversation flow ensures your AI Receptionist gathers all necessary customer details while keeping the conversation moving.

We break up conversation flows into Sales Conversation Flows and Current Customer Conversation Flows. The sales flow is meant for new customers, while the current customer flow is meant for current customers. 

Step-by-Step Instructions for Setting Up Sales Customer Flows

Follow the below steps in order to set up your customer flows for your business. You can add as many steps as you want and customize the experience based on the specific services the customer is interested in.

To add the steps to the Sales Conversation Flow, go to ‘AI Logic.’ You can start editing the ‘Sales Conversation’ under ‘General Logic’ settings from here. Scroll down until you see ‘Sales Conversation Flow.’ Once you’ve selected it, click the ‘+ Add a Step.’ 

  • Think through your ideal sales call flow.
  • List out briefly what the AI Receptionist should say or ask for each step.
  • Move the steps up and down as you wish, or delete using the ‘X’ to the right if necessary. 
  • Once you’re done, you can click ‘Update’ to save your changes. 
  • Call your AI Receptionist to test out the new flow, then make adjustments as needed. 

Step-by-Step Instructions for Setting Up Current Customer Flows

When your AI Receptionist engages with a current customer, you can set the conversation flow you would like it to follow under the Current Customer Conversation Flow. This is where you can edit the prompt sequence you want the AI Receptionist to follow in every conversation with an existing customer. 

Like the ‘Sales Conversation Flow,’ you can add as many steps as you’d like.

To add the steps to the Customer Conversation Flow, go to AI Logic. You can start editing the Customer Conversation Flow under the ‘General Logic’ setting from here. Scroll down until you see ‘Customer Conversation Flow.’ Once you’ve selected it, click ‘+ Add a Step.’

  • List out briefly what the AI Receptionist should say or ask for each step.
  • Move the steps up and down as you wish, or delete using the ‘X’ to the right if necessary.
